Introducing Version 2 of JOTx: Group Tracking, Offline Functionality, and Much More

We listened to your SLP data tracking needs

From inception we anticipated the need for the ability to track data on multiple people and on multiple goals at the same time. We knew therapists would need to be able to access the notes of other therapists and that even if you don’t have an internet connection therapy must go on! We intentionally waited to build these features until we sorted out the initial platform for one goal with one patient and gathered feedback from our early adopters.

Speech therapists have to keep track of a lot of data and not just on patient performance. We have to keep track of how much time is spent in the session and under which codes! And all of that information needs to be intelligently recorded.

We’ve gotten a lot of feedback since our initial launch of the JOTx app and we’ve taken to heart your suggestions.  In version 2 of the JOTx app, we’ve included the most requested features based on everyone’s feedback over the last year. We really want to build an app that provides excellent value to the SLP community and appreciate everyone’s outlook on how to make that dream a reality. Please tell us in the comments what you think about the newest JOTx features.

JOTx Version 2 Features:

Multiple goal tracking: It was really hard for me to use this app in my practice with my busy kiddos without this feature. I had to have UBER-structure for every session in order to keep things flowing in the session and track each goal. In fact, it’s a miracle that we survived the past year without it! My favorite part about this new feature is that once you set up an exercise for an individual, the app will remember it for next time, so you don’t have to keep adding it each time you launch the app. You will just be able to start your session and start tracking data!

Group data tracking: When I was in graduate school I got to have an aphasia group for one of my practicums. I LOVE aphasia groups. They are SO fun. But I did not love writing a note for every person in the group. Needless to say group data collection was sub par at that point. I think we’ve got a really great solution to the group data tracking dilemma. Every person in the group simultaneously has a note written for the session stating their individual data and how long they participated in the group session. YES – this was a coding nightmare. We are very thankful to Dogfish (our software development team) for persevering. We had long and sometimes tense discussions about how sometimes people join the group late or leave early… Or have to step out in the middle… And the time in their note needs to reflect that. So, we are pleased to share that you can do all these things in your groups.

Caseload sharing / administrative features: This was also a cause for a lot of back-and-forth around the concept table. We had to completely overhaul our website to add administrative functions that would empower managers to oversee a team of therapists and have additional access to their documentation. Now therapists are able to belong to an organization, be assigned a site of service, download the notes of other therapists in their organization, and be unassigned if they happen to leave the organization!

Offline functionality: It sounds so simple right?! Keeping your data secure gets trickier when you are storing your data on your iPad. It has to be encrypted. There is also limited space on an iPad, so eventually it needs to push that data up to the cloud. It get’s more complicated when sharing your caseload with someone else. Two iPads (or more!) with data for the same person on different days. What happens to exercises if one clinician changes the exercises and doesn’t upload to the cloud before the second clinician sees that person? It can become a mess quite quickly! From a coding perspective, this was a serious challenge.

Copying your note: People kept asking about adding the ability to email their notes. This is of course concerning from a HIPPA standpoint. So we asked, why do clinicians want to email protected health information (PHI)? Is it so they can print it without having a wireless printer? Is it so they can add it to their EHR system? Is it to share with a doctor or family member? We decided that the best solution was to give you the ability to copy your whole note and paste it into whatever document you desire. In this scenario, you can increase the security of PHI by pasting it into a word document for printing and/or password protecting before emailing… or by pasting it directly into your EHR system. We encourage clinicians to be vigilant about respecting HIPPA laws when using this feature.
